Recording your hybrid event

Recording with Microsoft Teams

The host's account must be enabled for recording

(This could take a 48 hours to happen, so plan ahead.)

This is a one-off action.  Once your account has been enabled, this setting will persist for future meetings/events.

If you haven't done this in the past, request access to record via your Nexus 365 acccount. from IT Services.  Do this at least 2 days in advance, and then test it with a test event.

Use the toolbar (or more...) to start the recording

Once a recording has been completed, the video will be stored in your OneDrive folder once it is finished processing (which can take a while).  It is likely to also appear in the Chat of the meeting.

See further details.

Recording with Zoom

The host of the meeting should be able to record, though worth checking beforehand.

The recording will be available on the recording PC’s local C drive under
C:\Users > [select PCs user profile] >Documents>Zoom, once it has finished processing (which can take a while).

It is still University policy that Zoom must not be used for confidential or sensitive matters. If something sensitive is likely to be discussed, please use Microsoft Teams.

See https://infosec.ox.ac.uk/article/guidelines-for-using-zoom

Important things to consider, but please use the link above for the full set of sensible advice:

  • Inform attendees that they will be recorded
  • Remind people in your meeting that Zoom should not be used for confidential or sensitive discussion
  • Use meeting passwords, but don’t post the whole link (including the password) on a public forum (e.g. web page)
  • Always enable the 'waiting room'
  • The 'Enable waiting room' option needs to be ticked when you set up the meeting AND
Someone needs to be 'on the door' to let people in when you start your meeting

PLEASE ALSO NOTE that recording is not available via the Lenovo devices in the Cole, Brock, Chester, Old Lodge, Octagon room 1 or 2, or Broadcast booth for either platform.  Someone else in the meeting who is able to record should do so.
